Job summary:
Provide reception services for the unit, which includes communicating messages to supervisors/ physicians, other staff of unit, and clerical functions involved in delivery of patient care.
Job Responsibilities:
Regular Responsibilities
a. Communication
Answer incoming phone calls promptly, respond to inquiries professionally, and accurately deliver messages to the appropriate individuals as required.
Attend patient concerns promptly and inform the nurse to facilitate quick response to the patients.
Demonstrate efficiency in skills while giving rush calls.
Communicate messages promptly and accurately to concerned physicians/nurses in order to help in the maintenance of smooth organization of patient care.
Utilize communication devices e.g. telephone correctly and ensure that these are used for official purposes only.
Notify physician and team leader/Head Nurse of all admissions.
Coordinate with cleaners for maintenance of cleanliness in the unit.
Notify any unusual observations in the unit to head nurse /team leader, safety and security department.
b. Documentation:
Update daily census statistics of patients transfer in/ out, admissions and discharges in computer to liaise with admission office.
File accurately all diagnostic reports in patients' files chronologically, in order to maintain the file update.
Maintain and update records of admission, discharges and transfers in log for ready access.
Document all appointments given to discharged patients in the system.
c. Nursing Station Management:
Keep nursing counter area neat and tidy.
Control crowds and maintain noise free nursing station.
Ensure availability of all forms/ slips at the nursing station to be used by nurses and physicians.
Take feedback from supervisors and work to improve on the identified areas.
d. Operational Management:
Maintain predetermined levels of stationery and replenish stock as required.
Provide general administrative and clerical support.
Coordinate with the admission department regarding referral/transfer arrangements of patients as per requirement.
Notify Patient Business Services Department, admission office, pharmacy, food services and housekeeping Departments about patient discharges and or, transfers within or outside the unit for necessary arrangements to be made.
Provide appropriate directions to patients and visitors while answering their queries.
Receive newly admitted patients and notify concerned nurses to escort the patient to his/her room fulfilling required formalities.
Prepare bed label with patient's name and MR number and place at head of the bed for identification for every newly admitted patient.
Maintain and update online-charging of defined unit-based items such as ECG and oxygen on computer and ensure its charging.
Coordinate with outpatient receptionist for appointment promptly at the time of patient discharge.
Enter charges for specific procedures on a computer or in special procedure slip if required.
Assemble and maintain patient charts as per given standards for concerned physicians/supervisors at the time of patient admission and disassemble them on discharge of patients and place it in the file.
Place stickers on red files to ensure labeling as infectious patients.
Maintain accessibility at the counter all the time.
Inform patients regarding patient visiting policy and food policy at the time of patient's admission.
Keep patients' files or charts neat, clean and replenished at all times for the supervisor's/physician's reference.
Handle patients' complaints and provide follow-up to the team leader or head nurse.
Obtain updated contact number of patients.
Demonstrate knowledge about unit disaster and emergency plan.
Adhere to the infection control practices in accordance with FMIC policies, procedures and protocols.
Demonstrate positive and supportive attitude towards supervisors and seniors'/team leaders.
Take initiatives towards his/her responsibilities.
Work in a team environment; contribute ideas and solutions to resolve problems that will improve teamwork within the department.
In the absence of porter, especially on night duty, the duty of porter as assigned by the supervisor.
Maintain logbooks as assigned
Maintain the inventory of the unit whenever assigned.
Must be regular and punctual at work with > 96% attendance.
Keeps oneself well-groomed and always maintains the uniform code.
Participates in professional activities.
Accepts the management decision to work in any of the areas when transferred or assigned as per institution's need.
Accepts hospitals' policy in complying with the area specific uniform.
Able to discharge duties on public holidays and off days; and perform long duty hours and shift duties including night shift as per need.
Be accessible through phone during off-days and leave-days; and discharge duty in case of emergency when called.
Performs any other related task as assigned by supervisor.
Periodic Responsibilities
Participate in unit meetings and educational programs as required.
Offer duty in emergency cases.
Document and report incidents to the supervisor.
Participate in departmental preparation activities for JCIA and ISO audits.
Participate in quality circles and quality projects whenever assigned by supervisor.
Qualification and Education:
